1. Introduction
This feature allows you to set up periodic reviews for procedures in a convenient and customizable manner. Ensure a timely and efficient review process for your instructions by configuring review intervals, deadlines, and reminders.
2. Accessing the Periodic Review Feature
To access the Periodic Review feature, follow these steps:
Navigate to the main work instruction list.
Click on the desired instruction to view its details.
Look for the more options "…" section under Procedure and click on the "Periodic Review" button.
3. Setting Up Periodic Reviews
Once you've accessed the Periodic Review screen, toggle the "Periodic Review" switch to enable the feature. This action will activate the following fields:
- Periodic Review Interval
- Review Interval: Enter a numerical value to determine the frequency of reviews.
- Interval Unit: Choose from the dropdown menu - Days, Months, or Years. The maximum range for the review interval is 10 years or 36,500 days.
- Review Window
Specify the time frame within which the reviewer must complete the review. This is the period in which the review is considered valid. Input the duration in days.
- Reviewer Email
Enter the email address of the person responsible for the review. This user will receive email reminders and notifications related to the periodic review.
- Escalation Email
In case the reviewer misses the review beyond the specified window, provide the email address of the individual who should be notified. This person will receive escalation emails.
4. Saving and Discarding Settings
After configuring the periodic review settings, you have two options:
- Save: Click this button to save the configured settings for the instruction. The periodic review feature will be activated according to the provided parameters.
- Cancel: If you wish to discard the changes, click "Cancel." The settings will not be applied, and you will return to the instruction details page without saving.
5. Example Scenario
Let's consider an example: You have a critical instruction that requires a quarterly review. Set the review interval to "3" and choose "Months" as the interval unit. The review window is set to "15" days, and the reviewer's email is specified. If the review is not completed within 15 days after the interval period is hit, an escalation email will be sent to the designated escalation email address.
